Accommodation Terms and Conditions

Accommodation Agreement

  • Article 1(Application of This Agreement)

    1. The accommodation contract concluded between the hotel and the guest, as well as contracts related to it, shall be governed by the terms of this agreement. Matters not stipulated in this agreement shall be governed by laws or established general customs.
    2. Notwithstanding the provisions of the preceding paragraph, the hotel may, within the scope that does not contravene the purpose of this agreement, laws, and customs, agree to special arrangements.
  • Article 2(Application for Accommodation Contract)

    1. A person who wishes to apply for a contract of accommodation at this hotel shall provide the following information to this hotel on the hotel's reservation website.
      • The guest's address, name and telephone number.
      • Date of stay, estimated time of arrival, telephone number and name of the applicant.
      • Any other information deemed necessary by the hotel.
    2. If, during the stay, the guest requests to continue the stay beyond the date of stay mentioned in the preceding paragraph b, this hotel shall treat it as if a new application for accommodation contract has been made at the time such application is made.
  • Article 3(Formation of Accommodation Contract, etc.)

    The accommodation contract shall be concluded when this hotel accepts the application as described in the preceding article.

  • Article 4 (Refusal to Conclude Accommodation Contract)

    The hotel may refuse to conclude an accommodation contract in the following cases:

    1. When the application for accommodation does not comply with this agreement.
    2. When there is no availability of rooms due to full occupancy.
    3. When it is recognized that the person intending to stay may engage in acts contrary to laws and regulations, public order, or good morals regarding accommodation.
    4. When the person intending to stay is recognized as a designated organized crime group, a designated organized crime group federation, or a member, associate, or other antisocial forces (hereinafter referred to as "antisocial forces") under the "Act on Prevention of Unjust Acts by Organized Crime Group Members" (Boryokudan) and Related Persons.
    5. When the person intending to stay is recognized as a corporation or other organization where antisocial forces dominate business activities.
    6. When the person intending to stay is a corporation or other organization, and an officer or director qualifies as an antisocial force.
    7. When a guest requests a burden related to accommodation that exceeds a reasonable scope.
    8. When an unreasonable burden is imposed on the accommodation beyond a rational scope.
    9. When a person seeking accommodation makes, or is reasonably deemed likely to make, demands on the hotel's employees that would impose an excessive burden and may significantly impede the provision of accommodation-related services (Article 5, Paragraph 1, Item 3 of the Hotel Business Act).
    10. When accommodation cannot be provided due to natural disasters, facility malfunctions, or other unavoidable reasons.
    11. When the person intending to stay may significantly disturb other guests.
    12. When the person intending to stay has engaged in behaviors that significantly disturb other guests.
    13. When the person intending to stay has engaged in behaviors that obstruct the business activities of the hotel's officers or employees, etc.
    14. When there is a concern that the person intending to stay may bring dangerous items (stoves, etc.), drugs prohibited by law or harmful substances to the human body.
    15. When the person seeking accommodation is a person to whom Article 8.1.a, d or e has been applied in the past.
    16. Other reasonable grounds.
  • Article 5(Registration of stay)

    The guest shall register the following items with the hotel on the hotel's reservation website at the time of confirming the reservation for the stay.

    1. The matters listed in each item of Article 2.1.
    2. Nationality and passport number if the guest is a foreign national who does not have an address in Japan.
    3. The date of departure.
    4. Other matters deemed necessary by the prefectural governor and by the hotel.
  • Article 6.(Payment of Accommodation Charges, etc.)

    1. The room rate, additional number of guests, and optional additional fees (hereinafter collectively referred to as "deposit" ) must be paid online at the time of reservation.
    2. The room charge will not be refunded even if the guest voluntarily does not stay in the room after starting to use the room.
  • Article 7(Cancellation of accommodation contract by a guest)

    1. When a guest cancels all or part of the accommodation contract, this hotel will charge a cancellation fee in accordance with the provisions listed on this hotel's reservation website.

      • Cancellation on the day before: 80% of the accommodation fee
      • Cancellation on the day of arrival or no-show: 100% of the accommodation fee
      ※A discount is available under a non-refundable (no refund on cancellation) condition.
    2. If a guest does not arrive by midnight on the day following their scheduled arrival (24:00 on the day of arrival; or two hours after the scheduled arrival time if one was specified in advance), this hotel may consider the accommodation contract to have been canceled by the applicant and process the booking accordingly.
    3. In the case of the preceding paragraph, if it is proven that the guest did not arrive by midnight on the day following the stay (24:00 on the day of stay; two hours after the specified arrival time if an arrival time was specified in advance) without prior notice, and that this was due to delays in trains, airplanes, or other public transportation or other reasons not attributable to the guest, the cancellation fee in paragraph 1 will not be charged.
  • Article 8(Cancellation of Accommodation Contract by the Hotel)

    1. The hotel may cancel the accommodation contract in the following cases:
      • When the applicant becomes subject to Article 4, Items 3 through 15.
      • When you fail to report the matters specified in each item of Article 5.
      • When the payment of the reservation deposit as stipulated in Article 6 is requested and the payment is not made by the due date.
      • When a person other than the guest is allowed to enter the guest room.
      • When smoking in bed, tampering with firefighting equipment, or violating other prohibitions stipulated in the hotel's rules of use.
    2. In the event that this hotel cancels the accommodation contract pursuant to the provisions of the preceding paragraph, if there is already a deposit received, this hotel will refund the balance of the deposit after deducting the deposit for the number of days the guest actually stayed before the cancellation of the accommodation contract from said deposit.
  • Article 9(Check-in/Check-out Time)

    1. Guests may enter the hotel (check-in time) from 3:00 PM, and must leave the hotel (check-out time) by 10:00 AM. However, if there are separate regulations for each location, the times displayed on the booking site or elsewhere by the hotel will take precedence.
    2. If you wish to extend your check-out time, please inform the hotel before your scheduled check-out time.The possibility of extensions, additional charges, and other conditions are subject to the regulations of each location, and may not be possible depending on the reservation status. Please note that some locations do not offer extensions.
    3. As a general rule, guest rooms are unavailable between 10:00 AM and 3:00 PM due to room cleaning and other maintenance.
    4. Notwithstanding the provisions of the preceding paragraphs, the hotel may change the check-in time and check-out time.
    5. If you exceed the check-out time without prior notice, the following additional charges will apply.
      • From 10:00 AM to noon: 30% of the daily accommodation fee.
      • After noon: 50% of the daily accommodation fee.
  • Article 10(Compliance with Rules)

      Guests are required to comply with the hotel's established rules of use while on the premises.
  • Article 11(Hotel's Liability)

    1. The hotel's liability based on the accommodation contract begins when the guest checks in and ends when the guest exits the room to depart.
    2. In the event that the hotel is unable to provide a room to the guest due to reasons attributable to the hotel, except in cases where it is difficult to arrange alternative accommodation under the same or similar conditions due to force majeure or other unavoidable reasons, the hotel will arrange alternative accommodation with the same or similar conditions. In such cases, if the accommodation fee for one night at the arranged accommodation exceeds the accommodation fee for one night at the hotel booked at the time of reservation, the hotel will pay the difference.
  • Article 12(Restrictions on Use of Fire and Related Equipment)

    1. The hotel may restrict or suspend all or part of fire-related facilities and services at accommodation facilities (such as saunas, wood-burning stoves, bonfires, and barbecues) when an advisory, warning, fire weather report, dry weather advisory, or similar alert regarding wildfires has been issued by national, local, or fire authorities or other administrative bodies, or when the hotel determines it necessary based on weather conditions or other fire prevention reasons.
    2. In the case of the preceding paragraph, guests shall comply with the instructions of the hotel and the hotel's usage rules.
    3. The hotel shall not be liable for any damages incurred by guests due to restrictions or suspension of use under paragraph 1, except in cases of intentional or gross negligence on the part of the hotel.
    4. The handling of accommodation fees (including refunds and provision of alternative services) in the event of restrictions or suspension under paragraph 1 shall be as separately determined by the hotel.
  • Article 13 (Handling of Deposited Items)

    The hotel shall not be liable for the loss, damage, or any other harm to items brought into the hotel by the guest, unless such loss, damage, or harm is due to intentional or gross negligence on the part of the hotel.

  • Article 14 (Storage of Guests' Baggage or Personal Belongings)

    1. If a guest's luggage arrives at the hotel prior to their stay, the hotel will only be responsible for its safekeeping if it has agreed to do so beforehand (including by a method specified by the hotel), and will hand it over to the guest upon check-in.
    2. The hotel will only be responsible for the safekeeping of guests' luggage or personal belongings after check-out, and only if this has been agreed upon in advance. If items are not retrieved within the storage period agreed upon by the hotel, they will be treated as having been intentionally abandoned and ownership relinquished.
    3. If, after a guest checks out, their luggage or personal belongings are left behind without the hotel's consent, and it is reasonably presumed that they were intentionally abandoned, or if the hotel does not contact the guest regarding the items after the designated storage period has elapsed from the check-out date, the items will be treated as having been intentionally abandoned and ownership relinquished.
  • Article 15(Parking Responsibility)

    If a guest uses the hotel's parking lot, whether or not they deposit the vehicle's keys, the hotel provides a parking space and does not assume responsibility for the management of the parked vehicle. However, if damage is caused due to intentional or gross negligence in the management of the parking lot by the hotel, the hotel will be responsible for compensation.

  • Article 16(Guest Responsibility)

    If a guest intentionally or negligently causes damage to the hotel, the hotel may seek compensation for the incurred damages from the guest.

  • Article 17(Exclusive Agreement Jurisdiction and Governing Law)

    Any disputes arising from this agreement shall be resolved in accordance with Japanese law, and the exclusive jurisdiction for such disputes shall be the court with jurisdiction over the location of the hotel's main office in Japan.

  • Article 18(Modification of these General Terms and Conditions)

    This hotel may amend these Terms and Conditions in accordance with Article 548-4 of the Civil Code. When amending these Terms and Conditions, this hotel will notify guests of the fact that the Terms and Conditions will be amended, the content of the amended Terms and Conditions, and the effective date thereof at least two months in advance at the hotel's head office, branches, and on the hotel's website.

Hotel Rules and Regulations

  • To ensure the public nature of the hotel and the safety and comfort of our guests, customers using the hotel are required to adhere to the following rules based on Article 10 of the Accommodation Rules. Failure to comply with these rules may result in the termination of the accommodation contract under Article 8 of the Accommodation Rules.

    1. Please do not use the guest room for purposes other than accommodation without permission.
    2. Do not sublet the guest room without permission.
    3. Please do not use the guest room as an office or business office without permission.
    4. Do not use any items that may produce an open flame for heating, cooking, or pressing, except for those installed by the hotel for guest use.
    5. Damage, defacement or destruction of facilities
      • If you find any damage or defacement of the facilities prior to use, please notify the staff immediately.
      • In the event of damage, defacement, or destruction that cannot be expected under normal use, we will charge you for repair costs, etc. and refuse your future use. Please understand this in advance.
    6. For fire prevention, do not smoke in areas other than designated smoking areas and places specified by the hotel.
    7. Please avoid loud voices, singing, or noisy behavior that may cause discomfort or disturbance to other guests in the hotel and guest rooms.
    8. Please do not bring the following items into the hotel:
      • Items that emit a foul odor.
      • A significantly large quantity of items.
      • Items that are easily flammable or combustible, such as gunpowder or volatile oils.
      • Items such as firearms, swords, or drugs that are not legally permitted for possession.
      • Any other items that the hotel deems may compromise the safety or comfort of other guests.
    9. Please refrain from engaging in activities such as gambling that violate public order and morals.
    10. Do not invite third parties other than guests to the premises.
      If anyone is found to be using the facilities or staying in the hotel other than the guest, an additional fee will be charged.
    11. Please do not use hotel facilities or items for purposes other than their intended use.
    12. Do not take hotel items outside the premises or move them to other locations.
    13. Do not attach items to the hotel building or facilities, or move them to other places.
    14. Avoid displaying items that may damage the appearance of the hotel on windows or elsewhere.
    15. If you need to change the number of nights of your stay, please notify us in advance through the online platform.
    16. If you wish to extend your stay, please pay the additional accommodation charges, extra person fees, and optional service fees at the time of application for the extension.
    17. For your valuable and expensive items, please carry them with you when leaving your room.
    18. Please note the following about using the sauna
      • If you are not feeling well, please do not force yourself to use the service.
      • Use of the sauna after consuming alcohol is strictly prohibited.
      • Alcohol is not allowed in the sauna room.
      • Please do not use the product while wearing precious metals/accessories as they may cause burns.
      • When water is poured on the sauna stone (Löyly), steam is generated all at once.Please be careful not to burn yourself.
      • When pouring water on the sauna stones (Löyly), please use only one to two ladles of water at a time.If water is poured all at once, the water will not evaporate and will be applied to the stove, causing it to malfunction. In the unlikely event that a stove is damaged due to excessive water application, please understand that you will be responsible for the cost of repairs and lost work time.
    19. If the guest room is used beyond check-out time (10:00 AM), an extension fee will apply. If no prior notice has been given, the overstay charges set forth in Article 9, Paragraph 5 of the Accommodation Agreement will apply.
    20. The following organizations or individuals will be refused the use of various facilities within the hotel:
      • Designated organized crime groups and designated organized crime group alliances as defined in the “Act on the Prevention of Unjust Acts by Organized Crime Group Members,” as well as their members, associates, and other antisocial forces
      • Individuals associated with corporations or other organizations where anti-social forces control business activities.
      • Individuals engaged in acts such as assault, injury, threats, extortion, or intimidating unjust demands.
      • Persons who are unable to ensure their own safety due to mental or physical weakness, loss of self-control caused by drugs or other substances, or who may pose a danger to or cause fear or anxiety in other passengers.
      • Individuals who, despite receiving a warning from the hotel regarding a violation of the hotel rules, did not immediately cease the prohibited behavior.
    21. The Hotel may amend these Rules in accordance with the provisions of Article 548-4 of the Civil Code.In the event of such an amendment, the Hotel shall provide notice at least two months in advance at its main office and branches, as well as on its website, stating the intent to amend these Rules, the content of the amended Rules, and the effective date of the amendment.

    1. Granting of points
      • Earthboat Co., Ltd. (hereinafter referred to as "our company") will award points to a registered member (hereinafter referred to as "membership") when that member makes a reservation for an accommodation service eligible for points (hereinafter referred to as "eligible accommodation") on the Earthboat reservation site (hereinafter referred to as "this site") operated by our company.
      • Points will not be awarded for reservations made outside of the Site.
      • Points will be awarded when an Membership books a stay eligible for the award on the Site and checks out.
      • Points will not be awarded if you cancel an eligible stay prior to the stay.
      • Points will no longer be awarded for eligible stays with check-in on or after October 31, 2026. Points will not be awarded for stays with check-in on or after November 1, 2026, regardless of the check-out date.
    2. Use of Points
      • Memberships can use their points as the equivalent of 1 yen per point when booking a room, and the points will be discounted from the room rate, additional person charge, cleaning fee and consumption tax.
      • The minimum number of points an Membership can use for one reservation is 10 points and the maximum is the points held.
      • Points cannot be used on sites other than this site.
      • Even after the point award program has ended, any points already granted may continue to be used for accommodation reservations until their expiration date as specified in Paragraph 3.
    3. Expiration and Invalidation of Membership Points
      • Points are valid for 12 months from the date they are awarded.
      • If points are not used by the expiration date, such points will automatically expire.
      • If you cancel your Membershipship, your points will automatically expire.
      • Expired points cannot be used.
      • The Company will not provide any compensation for, and will not be liable for, any forfeited points.
    4. About other points
      • You can check your point balance in the point information in the list of reservation information on My Page.
      • For inquiries about points, please use the inquiry form.
      • Terms and conditions for the awarding of points are subject to change without notice.

Lost and Found

    1. When a lost or forgotten item belonging to a guest is found within the hotel, the hotel will store it for the period indicated in the table below according to the type of item. The storage period is calculated from the later of the guest's check-out date or the date the hotel discovered the item.

    2. If no contact is received from the guest after the storage period shown in the table above has passed, the item will be disposed of as having been abandoned and ownership relinquished, pursuant to Article 14 of the Accommodation Agreement.
    3. If shipping costs or other expenses are incurred in returning the item to the guest, such costs shall be borne by the guest.
    4. If items requiring disposal costs are left in a guest room or elsewhere on hotel premises, the hotel may charge the guest for the disposal costs.

Disclaimer

    1. The Hotel shall not be liable for any damages incurred by guests (hereinafter referred to as "users") due to natural disasters such as typhoons, torrential rains, thunder, snow, earthquakes, etc., fire, distress, water damage, theft, trouble between users, accidents or injuries regarding insects and animals, except in cases of intentional or gross negligence on the part of the Hotel.
    2. The use and safety management of the Hotel shall be entirely at the user's own risk. The Hotel shall not be liable for any accident, illness, injury, etc. that occurs during use of the Hotel or while entering or leaving the Hotel for reasons that cannot be attributed to the Hotel.
    3. The hotel will not be responsible for any accidental injury, death, theft, escape, or other unforeseen accidents of pets in the hotel.
    4. The hotel will not be responsible for any loss or damage to tools brought in by the user for reasons not attributable to the hotel.
    5. The Hotel shall not be liable for any damage incurred by the User due to reasons that cannot be attributed to the Hotel.
